How to set an email signature in Zoho Mail

Zoho Mail handles signatures better than most webmail: a source view, one signature per address, and an explicit choice about where it lands in a reply. The last of those is the one people never find.

The path

1. Settings (the gear) → Mail → Signatures.
2. New Signature, give it a name, and write or paste into the editor. The </> button in the toolbar opens the HTML source.
3. Under Associate to, pick which of your addresses uses it. An account with several addresses can have a different signature on each.

The setting worth finding

Below the editor there is a choice for where the signature goes on a reply or forward: above the quoted text or at the bottom of the message. The default puts it at the very bottom, under the whole quoted thread, which on a long conversation means nobody ever sees it.

Above the quote is almost always the better choice. The exception is a long signature with a legal block, where repeating it above every reply makes the thread unreadable — in that case keep a short signature for replies and the full one for new messages, which Zoho supports because you can define several and choose per message.

Pasting HTML

Use the source view rather than pasting rendered content. Zoho's rich-text editor is reasonably well behaved, but the source view removes the question entirely: what you paste is what is stored.

Build the signature as a table with inline styles. Zoho itself will render almost anything, but the signature has to survive in the recipient's client, and that is where the constraint really lives.

Images

Zoho lets you upload an image into the signature or reference one by URL. An uploaded image is served from Zoho's own domain and behaves like a hosted image for the recipient — it will be blocked until they load remote content. Keep the file small and set explicit width and height so the layout does not jump when it finally loads.

Several signatures, and when that is worth the trouble

Zoho lets you define multiple signatures and pick one while composing. Most people set one and never use the feature, which is a small waste, because the two-signature pattern solves a real problem: a full block for first contact, a short one for everything after.

The full one carries the logo, the role, the address and whatever the company requires. The short one is name, role and phone. Use the full one when you write to someone new; use the short one on replies. The thread stays readable and the first message still does the work of introducing you.

The reply-chain arithmetic

A signature that weighs 15 KB and appears on every message in a ten-message thread contributes 150 KB to the final message. Gmail clips at roughly 102 KB, which means a long exchange with a heavy signature will eventually be truncated for the recipient — and the part that gets hidden is the bottom of the thread, the history everyone scrolls to when they need context.

This is the strongest practical argument for keeping signatures small, and it has nothing to do with aesthetics. It is why the sizing question matters more than the design question.

Zoho's own footer

Free Zoho Mail accounts append a line advertising the service. It sits below your signature and it is not part of it, so removing your signature does not remove that line.
