When the signature repeats down the whole thread

Every reply appends the signature again, so a long exchange ends up carrying five or ten copies of your logo and contact block. It is worse than untidy: it is how messages get truncated.

The cost is not only visual

Gmail clips a message at roughly 102 KB and hides the rest behind a "view entire message" link. A signature weighing 12 KB, repeated across a nine-message thread, contributes over 100 KB on its own. The part that gets hidden is the bottom of the thread — the history people scroll to for context.

So the reason to control this is not tidiness. It is that a long conversation with a heavy signature eventually becomes unreadable at exactly the point where the conversation matters most.

The setting, by client

Most clients let you choose a different signature for replies, or none at all. In Outlook the choice is in the signature settings, with separate dropdowns for new messages and for replies and forwards — setting the reply signature to "none" or to a short variant is a one-time change.

Gmail on the web has no separate reply signature, but it does have an option to insert the signature before the quoted text, which at least keeps it visible without adding weight further down. Apple Mail and Thunderbird both let you set signature placement relative to the quote.

The two-signature pattern

Where the client supports it, the arrangement that works is a full signature for new messages and a short one for replies. The full one introduces you: name, role, company, logo, contact details, and anything legally required. The short one is name and one number, two lines, no image.

The person you are replying to already has the full version from earlier in the thread. Repeating it adds nothing they do not have.

When the signature is server-appended

If a compliance footer is added by Google Workspace or a Microsoft 365 mail flow rule, no client setting will stop it repeating, because it is added after the message leaves the client. The mitigation is on the rule: an exception that skips the footer when the message body already contains a marker string from a previous copy.

What to keep on every message anyway

If your jurisdiction requires company details on business correspondence, the requirement usually applies to every message, not only the first. In that case repetition is the point and the answer is to make the required block as light as possible: text only, no logo, no separator graphics. A legally complete footer can be under 1 KB if it carries no images.

What the two-signature split looks like in practice

The full signature: name, role, company, logo at 80 pixels, one phone, one email, one link, and any required legal block. Call it 8 to 12 KB with the image.

The reply signature: two lines of plain text — name on one, phone on the other. Under 200 bytes, no image, nothing to load, nothing to block. Repeated ten times down a thread that is 2 KB rather than 100 KB, and the difference decides whether Gmail truncates the conversation.

Setting it in Outlook, precisely

File → Options → Mail → Signatures. On the right there are two dropdowns: New messages and Replies/forwards. They are set per email account, using the account selector above them — which is the step people miss when they have two accounts and only one behaves.

Why people resist this

The usual objection is that the signature is branding and should be on every message. It is worth being clear about who the second, third and tenth copies are for: the person you are replying to, who already received the full version at the top of the thread. Nobody new joins a thread and reads the eighth message first. The repetition serves no reader, and it costs the thread its readability.
