The licence number
In many jurisdictions a person or firm dealing in property must be licensed or registered, and must state that registration on business communications. The United States regulates this state by state; several European and Commonwealth systems have equivalent requirements at national level.
Where a rule applies, the number goes in the signature and it is not discretionary. Where a rule does not apply, including it anyway is a reasonable trust signal in a field where clients are cautious.
The photograph, which is genuinely expected here
Property is a relationship business conducted largely in person, and a client who is about to meet you at a viewing benefits from recognising you. A photograph in an estate agent's signature reads as normal rather than as vanity.
It has to be small. A headshot displayed at 64 pixels square, exported at 128 pixels, and kept under 15 KB. That is achievable with a tightly cropped image; it is not achievable if you drop in a full portrait and set the width attribute. The uncropped version costs 150 KB and arrives on every message.
Give it alt text with your name, so that a reader with images blocked sees something rather than a hole where your face should be.
Which number to give
The mobile, and only the mobile. Property runs on people reaching an agent quickly about a viewing, and a switchboard number in a signature is a barrier between a motivated buyer and the person who can open the door.
This is the field where the general advice to list one number is strongest, and where the right one is least ambiguous.
Brokerage details
Where an agent works under a brokerage, the brokerage name and its own registration usually have to appear alongside the individual's. Two lines in small grey text below the contact block covers it, and it is worth checking the brokerage's own template first — most have one, and consistency across a team matters more here than an individual's preference.
Property portal links
The temptation is to link every portal where your listings appear. One link to your current listings is worth more than four to portals, because the reader who clicks is looking for property rather than for platforms. If your listings live on one portal, link that; if they live on your own site, link that.
The size problem in this field specifically
An estate agent's signature typically carries a headshot, a brokerage logo and a licence block. That is two images and a legal footer on every message, in a business conducted through long email threads. At 15 KB for the headshot and 10 KB for the logo, a twelve-message thread carries 300 KB of signature — well past the point where Gmail truncates.
Use the headshot on new messages and a text-only signature on replies. The client who is already in a conversation with you knows what you look like.
What the two versions weigh
Full version, for a first message: headshot at 15 KB, brokerage logo at 10 KB, contact block and licence particulars as text at about 500 bytes. Around 26 KB.
Reply version: the same text with no images, under 600 bytes. On a fifteen-message negotiation that is 9 KB instead of 390 KB, and the thread stays whole rather than being cut off above the offer history.
