The question the title has to answer

Someone reads your signature because they want to know one of two things: can this person decide, and is this person the right department. A title like Senior Manager answers neither. Senior Manager, Supplier Payments answers both well enough to act on.

Adding the domain to an internal-sounding title costs four words and turns a label into information.

Internal titles do not travel

Organisations invent titles that are meaningful inside and opaque outside: Principal II, Band 7, Individual Contributor 5. These are compensation bands wearing a job title's clothes. Outside the building they convey nothing and can read as evasive.

If your official title is one of these, most organisations allow a plainer external form. Use it. The signature is a message to outsiders.

Freelancers and the credibility problem

A one-person business faces the opposite issue. CEO of a company with one employee invites a discount from anyone who checks, and Owner says what you are rather than what you do.

The stronger choice is the discipline: Brand designer, Employment lawyer, Data engineer. It tells a prospective client whether to keep reading, which is the only thing the line has to accomplish. If you want the business named, put the business name on the next line.

Two roles at once

People who hold two positions often list both, separated by a slash. This usually reads as indecision. Choose the one relevant to the correspondence you are having, and if you genuinely need both contexts, maintain two signatures and pick per message — most clients support several.

Credentials after the name

Post-nominals are conventional and expected in some professions — law, medicine, accountancy, engineering in jurisdictions where the title is protected — and read as padding elsewhere. The test is whether a client would check for them. If yes, include them; a chartered status that a reader is looking for is worth more than the line it occupies.

Limit to the ones that are relevant to this correspondence. Three sets of letters after a name is where the convention stops working.

Length and layout

Keep the title on one line at 320 pixels wide, which is roughly 40 to 45 characters at 14 pixels. A title that wraps to a second line pushes the whole signature taller and, on a phone, wraps in a place you cannot predict. If your real title is longer than that, shorten it for the signature — the reader is not verifying it against your contract.

The company name is a separate line, not part of the title

Writing Brand designer at Northwind Studio on one line uses the whole width and gives the company the same weight as the role. Two lines — Brand designer then Northwind Studio — read faster, wrap predictably at 320 pixels, and let you style the company name differently if you want the emphasis elsewhere.

What to do when the title changes often

People in growing companies change titles more than they change signatures, and a stale title is worse than a vague one. If your role is in flux, choose the stable description of the work rather than the current label: Product rather than Associate Product Manager II. It stays true through the next reorganisation.

Checking how it reads to a stranger

Show the two lines to someone outside your industry and ask what you do. If they cannot answer, the title is internal language. This takes thirty seconds and catches the thing that no amount of rereading your own signature will, because you already know what the words mean.
