The personal contact question

Never put a personal mobile number or a personal email address in a signature that reaches pupils or parents. This is standard safeguarding practice in most school systems, and it exists because a direct private channel between a teacher and a child is the thing that policies are designed to prevent.

The school switchboard, a departmental number or a school email address is what belongs there. If parents need to reach you urgently, the route is through the school office, and the signature should make that route obvious rather than bypass it.

Say which classes you teach

A parent writing about their child does not know whether they have the right teacher. Head of Year 9 or Mathematics, Years 7 to 11 answers that before they write, and saves a message that has to be forwarded.

In a large school this single line removes a substantial amount of misdirected correspondence.

Availability, stated plainly

Teachers are in front of classes for most of the day and are the group most often expected to reply immediately. A line saying when you read email — I read email before 8am and after 4pm — sets an expectation and is the most useful thing you can add.

It works because it is specific. "I may not reply immediately" says nothing; a time says what to expect.

What schools usually require

Many schools mandate a signature format including the school name, address, telephone, and often a registered charity or trust number where the school is part of one. Where a template exists, use it — an inconsistent format across a staff of eighty is what a parent notices.

Check also whether your school requires a specific confidentiality or data protection line. Schools handle a great deal of information about children, and some systems have particular requirements about correspondence.

The out-of-office is part of this

Term dates, half terms and study leave mean a teacher is unreachable in predictable blocks. An out-of-office that names the date you return, and who to contact meanwhile, does more for a worried parent than any signature line. Set it before the holiday rather than during it.

Keep it short for the phone

Parents read school email on phones, usually while doing something else. Four lines — name, role and classes, school, switchboard number — is enough, and it fits in the preview pane without scrolling. Anything the school requires goes below that in small text.

The size discipline, for a specific reason

School signatures accumulate: the school crest, a trust logo, an awards badge, an environmental line and a data protection paragraph. Three images at 10 KB each plus a footer is 35 KB on every message, and correspondence with a parent about one child routinely runs to fifteen messages. That is over 500 KB, well past the point where Gmail truncates the thread and hides the earlier exchanges — which in a safeguarding or complaints context is the part that matters.

Where a school template mandates the logos, this is worth raising with whoever owns it, with the numbers rather than as a preference.

Writing to pupils

If your school allows email to pupils, keep the signature to name, role and the school address. No personal links, no social accounts, nothing that leads off school systems. The signature is part of the boundary, not an afterthought attached below the message.
